A VAT201 return is the recurring declaration that turns a South African vendor's sales, purchases, adjustments and supporting documents into one amount payable to SARS or one potential refund. It is not enough to total the VAT columns on invoices. The return must agree with the allocated tax period, the accounting records, the evidence for input tax and the payment reference used to settle the liability.
This guide was verified on August 17, 2026 against the current SARS VAT201 completion guide, the SARS VAT vendor obligations page, the VAT404 Guide for Vendors and SARS's VAT vendor FAQs. All four official sources returned HTTP 200 on the verification date. The guide is a practical filing control for registered vendors and their finance teams. It is not tax advice, a SARS filing service or a substitute for the Value-Added Tax Act, a binding ruling or professional advice on a disputed treatment.

The safest operating model is to separate calculation, evidence, filing and payment. A spreadsheet total can support calculation, but it does not prove that every input tax amount is deductible. An eFiling submission receipt proves filing, but it does not prove that the payment reached the correct account. Keep each layer visible.
1. Confirm The SARS Tax Period Before You Close
The VAT404 Guide says the standard VAT period is generally two calendar months. Category A ends in January, March, May, July, September and November. Category B ends in February, April, June, August, October and December. Category C is monthly and applies when turnover exceeds or is likely to exceed R30 million in a consecutive 12-month period, when the vendor applies for it, or when SARS assigns it after repeated failures to meet vendor obligations.
SARS also provides less common tax-period categories for qualifying vendors. Do not infer a category from business size, industry or the previous bookkeeper's calendar. The VAT201 work page displays the tax period in CCYYMM format. Confirm that displayed period against the registration record and accounting cut-off before importing or typing values.
Use a consistent cut-off rule for invoices, credit notes, debit notes, imports and payments. If the accounting system closes a period on a different date from the SARS period, document the reconciliation. A timing difference that is understood can be carried and cleared. An unexplained difference becomes a repeated filing risk.
2. Close Sales, Purchases And Adjustments
Start with sales and other events that create output tax. Reconcile standard-rated sales to tax invoices and the sales ledger. Keep zero-rated supplies separate from exempt supplies because they do not have the same VAT treatment. Identify credit notes, debit notes, bad-debt adjustments, change-in-use adjustments and imported services only when the statutory facts actually apply.
Then close the purchase side. A payment, bank entry or supplier statement does not by itself establish an input tax deduction. Match each proposed deduction to the required documentary evidence, business purpose and tax period. Remove private, exempt-activity and unsupported amounts from the deductible input tax schedule. If an expense serves both taxable and non-taxable activities, use the approved apportionment treatment rather than claiming the full amount automatically.
Keep imports and capital goods visible. Import VAT should agree with the customs and payment evidence required for the claim. Large equipment purchases can create unusual refund positions and should be traceable from supplier invoice or import record through fixed-asset register, general ledger and VAT201 support. Diesel refund fields are a separate statutory regime and should be used only by an eligible vendor with the required records.
A useful period-close pack has at least five reconciliations:
- Sales ledger to taxable turnover and output tax declared.
- Purchase ledger to the input tax schedule after evidence review.
- Credit and debit notes to the original transactions and accounting entries.
- VAT control account to the draft return and prior-period balance.
- Draft VAT201 result to the payment approval or refund support file.
3. Complete The VAT201 From The Reconciled Pack
Open the return for the correct period on the VAT work page. SARS pre-populates vendor and period details, but the vendor remains responsible for checking them. Confirm the trading name, VAT number, customs code where relevant and the CCYYMM period before entering financial values.
Complete sales and output-tax values from the signed-off sales reconciliation, not directly from a bank statement. Bank receipts can include loans, owner funding, inter-account transfers, deposits and settlements that are not ordinary taxable sales. They can also omit credit sales that have been invoiced but not collected. The accounting basis and the applicable VAT rules determine the return, not cash movement alone.
Complete input tax from the reviewed deduction schedule. The SARS VAT404 guide describes the VAT201 as a declaration of the VAT charged or otherwise due as output tax and the amounts the vendor believes it may deduct as input tax. That wording matters. A purchase ledger can identify candidate amounts, but the deduction schedule should show why each material amount is allowed and where its supporting document is stored.
The standard VAT rate is 15% on standard-rated supplies. If a standard-rated amount was entered exclusive of VAT, multiply it by 15%. If a standard-rated total is VAT inclusive, the VAT fraction is 15 divided by 115. Use those formulas only after confirming the supply is standard-rated. Do not apply 15% to zero-rated or exempt supplies merely to make the return agree with a ledger total.
Before submission, compare the draft VAT201 with the previous periods. Investigate changes in the effective output-tax ratio, input tax, zero-rated sales, adjustments and the final payable or refund amount. A variance is not automatically an error, but it should have a documented business reason such as a capital purchase, seasonal billing, credit note or timing movement.
4. Submit The Return And Prove The Payment
SARS says an eFiling VAT201 can be submitted from the first day of the month after the tax period and must reach SARS by the last business day of that month. When both return and payment are completed through eFiling, the payment deadline is also the last business day. If the return is filed electronically but payment is not made through eFiling, SARS's VAT201 guide shows the payment deadline as the 25th, or the last preceding business day.
Branch filing follows the earlier 25th-day timetable and requires an appointment. SARS states that faxed, emailed or photocopied VAT201 returns printed from eFiling are not accepted. For most operating teams, eFiling gives the clearest submission, payment and correction trail.
Use the payment reference number generated for the return. A payment of the correct amount with the wrong PRN can still leave the VAT period appearing unpaid. After payment, retain the eFiling submission acknowledgement, return version, PRN, bank or eFiling payment confirmation and VAT statement of account. Check that the payment is allocated to the intended period instead of assuming that a bank debit proves allocation.
If the return shows a refund, keep the same complete evidence pack. A refund result does not end the review. SARS may request supporting documents or select the return for verification or audit. Make sure the supporting schedule can be traced to tax invoices, customs documents, accounting entries and the return fields without rebuilding the file under deadline pressure.
5. Correct A Filed VAT201 Without Losing The Audit Trail
SARS allows a vendor to use Request for Correction on a filed VAT201. The process creates a new return version for the same period. Complete the full corrected return, not only the difference between the old and new amounts. If the correction produces an additional payment, use the same PRN linked to the original return period.
The SARS completion guide places limits around corrections. VAT portions can generally be revised for periods within the last five years. From the second correction onward, identified as version 3, supporting documents are required with the revised submission. Only the latest version of the return is available for adjustment, which helps keep one visible correction chain.
SARS also distinguishes output-side and input-side revisions. The guide says Part A amounts can be increased or decreased, while Part B amounts on the prior return can only be decreased. If input tax from an earlier period was omitted, the guide directs the vendor to claim it in a later period within five years of first entitlement rather than increasing that input deduction through the old return. Confirm the facts before acting because a correction can change interest, penalties, refund verification and supporting-document requirements.
Keep a correction memo showing the original value, corrected value, cause, approving person, affected invoices or entries, submission version and any payment. The memo should also state whether the accounting ledger was corrected. A revised tax return with an unchanged ledger creates the next reconciliation problem.

Set internal deadlines before the statutory due date. The sales and purchase ledgers should close first, followed by evidence review, draft preparation, reviewer sign-off, filing and payment approval. Leaving every step to the final business day turns ordinary document questions into late-payment risk.
Keep access controls around eFiling. The preparer, reviewer and payment approver should have appropriate roles, and changes to bank or representative details should be independently checked. Never send passwords or one-time codes in an invoice pack or shared filing spreadsheet.
